The position provides support to the HR team working on Congress.
SPECIFIC DUTIES AND RESPONSIBILITIES
Core tasks and responsibilities:
Equipment distribution and tracking: • Liaise with function leads to prepare the list of assigned assets and equipment on-site. • Prepare, and coordinate the distribution and consolidation of equipment for distribution on-site (phones, bottles, laser pointers, etc.) • Track assigned assets and equipment to staff during Congress and coordinate return at the end of Congress. Congress staff data and reporting: • Compile and disseminate bi-weekly update on staff and non-staff recruitments. • Process staff deployment data in HRMS upon request from Deployments staff. • Generate Congress organisation chart. • Develop and manage Congress staff distribution lists. Training and evaluation support: • Assist with logistics of staff orientation, meeting room, equipment, etc. • Inform staff of timing or location of the orientation and of any last-minute changes. • Assist with distribution of information about orientation. Congress coordination: • Attend Congress coordination meetings and prepare minutes as needed. • Follow up on meetings action items as needed. Congress applicant support: • Assist applicants with HRMS application process and troubleshoot as needed. Congress HR report: • Consolidate the lessons learnt from the team and contribute to feedback and lessons learnt report. • Collect information and consolidate Congress Human Resources report.

REQUIREMENTS
1-2 years work experience preferably in an HR function English is essential. Working knowledge of other IUCN language will be an asset. Good interpersonal skills; able to work under pressure; able to multi-task. Excellent organisation skills and attention to details.
