BACKGROUND
The Global Forest and Climate Change Programme (GFCCP) is a global thematic programme of the IUCN Secretariat and supports the forest-related activities of the Union. The GFCCP consists of a global secretariat based at the IUCN Headquarters and out-posted staff in North America. The GFCCP also directly links to, and supports coordination between a worldwide network of over 50 regional and country level forest officers, enabling it to add value to the work of IUCN members through both field-based and policy-orientated interventions. The GFCCP is structured to create tangible links between field-based learning and ongoing national and international policy dialogues with a view to catalyzing delivery of tangible results. In this respect, the GFCCP is an active member of the Collaborative Partnership on Forests, The Forests Dialogue and acts as secretariat for the Global Partnership on Forest Landscape Restoration.

The GFCCP’s work is centered on three mutually supporting themes of Climate Change Mitigation (with a focus on “pro-poor” REDD+), Forest Landscape Restoration (FLR) and Locally Controlled Forests (ILC). While the GFCCP’s programme of work is designed and implemented around these three thematic areas it is also expected to build synergies with IUCN’s work on private sector engagement, economics, ecosystem-based adaptation and protected areas. Most of the GFCCP’s activities are delivered jointly with IUCN regional programmes and the IUCN scientific expert commissions.

IUCN is seeking a motivated individual to provide financial, admin and logistical support to a portfolio of projects that aim to contribute to the restoration of 150 million hectares of degraded and deforested lands by 2020 – also known as the Bonn Challenge.
JOB DESCRIPTION
OVERALL RESPONSIBILITIES

This position will be responsible for financial and administrative coordination of projects, including responsibility to monitor and facilitate all financial tracking and donor reporting aspects. S/he will also be responsible for providing logistical and administrative support to the team, including assistance in the organization of events.

This position will report directly to the Programme Officer, but is expected to work in close collaboration with the Senior Finance Manager in the IUCN Washington DC Office on financial reporting matters.

TASKS

The financial management of the projects is complex, with numerous sub-grants and research agreements, cost-share tracking across multiple projects and project codes, detailed financial reporting and tracking obligations, and budgeting across numerous activities and staff, among other challenges. As the primary point of contract for financial and administrative activities related to these projects, the person hired for this position will be critical to their ultimate success.
Responsibilities include:

• Maintain, monitor, and review project budget and expenditures in consultation with the project manager and IUCN’s finance department staff in Washington DC and Headquarters.
• Draft, process and monitor all contracts by following IUCN’s internal control system.
• Process all payment requests for sub-grants, research, and professional service agreements and other expenditure claims by making sure the required approvals, supporting documents and charge codes are provided to the IUCN Washington DC finance office for processing of payment and record on timely manner.
• Prepare and submit the monthly credit card expenditure claim reports of the project staff to IUCN Washington DC finance office in a timely manner.
• Ensure compliance with donor contractual terms and conditions for reporting requirements, including tracking cost-share requirements, maintaining all receipts for expenses, and other requirements as determined by the donor.
• Track travel and credit card expense reports for members of the project teams and work closely with IUCN’s finance department to ensure expenses are recorded properly.
• Comply with all internal IUCN financial reporting, budgeting and contract processes, and deadlines.
• Prepare additional budgets and spreadsheets as requested/needed.
• Help plan and facilitate meetings and events, including logistical arrangements.
• Provide support on travel arrangements.
• Carry out other financial, logistical and administrative duties for the project as needed.

COMPENSATION PACKAGE
- Gross salary ranging from USD 41'000 to USD 50'000 per year

- Retirement benefit of 5% of gross salary from the 4th month of employment
- 7.65% of gross salary FICA contribution (applicable for US nationals and green card holders)
REQUIREMENTS
  • Undergraduate education to advanced university degree in Business Administration, Accounting, Finance, Office Management or a first level university degree with relevant experience in accounting, business, public administration, or a related field

• 3-5 years of relevant professional experience in an office environment and international organization

• Experience in managing multiple grants, sub-grants, and contracts and project budgets

• Fluency in written and spoken English is essential. Proficiency in a second language is a plus

• Strong interest in program/project administration and coordination

• Experience with, or demonstrated aptitude for, financial management

• Experience in logistics and procurement, preferable related to events and travel arrangements

• Understanding of basic non-profit accounting principles and experience in developing, monitoring, and reporting on budgets

• Excellent financial, accounting, and reporting skills, as well as good exposure to project administration

• Strong analytical capabilities and a high level of organization and attention to detail

• Ability to work with people from diverse cultures and disciplines

• Results driven, personal commitment, efficiency, flexibility, and problem-solving skills

• Demonstrated capacity to work well under pressure and successfully manage multiple deadlines and competing demands

• Proficient with MS Excel, MS Word

• Previous experience with financial software highly desirable

• Excellent oral and written English language skills

• Ability to work both independently without direct supervision
