Project Assistant - Admin & Finance - Punjab Wildlife Census Project

The primary role of this position is to facilitate and assist administrative, financial, and human resource matters related to the Punjab Wildlife and Parks Survey Project. The incumbent will be responsible for assisting in routine accounting tasks, ensuring smooth processing of payments, maintaining and archiving records in compliance with IUCN policies and procedures, and reporting to the Islamabad Office while supporting administrative functions.
Under the overall supervision of the Project Manager, Coordinate with the Admin/Finance/HR Officers at the Islamabad IUCN Country Office as required, ensuring smooth operations.
Key Responsibilities:
Administrative Support:
•Assist in event management, ensuring smooth logistics and coordination of project-related events.
•Provide support in office documentation, ensuring all documents comply with IUCN's standard policies and guidelines.
•Maintain office premises, ensuring they are well-organized, clean, and conducive to a productive working environment.
•Manage administrative functions, establishing internal systems and controls, and ensuring smooth day-to-day office operations.
•Ensure the safety and security of office supplies, materials, equipment, and physical facilities.
Financial Support:
•Receive invoices from suppliers, review them, and initiate payment requests promptly in accordance with project requirements.
•Maintain accurate financial records related to the Wildlife and Parks Survey Project, ensuring all transactions are recorded in a timely manner.
•Prepare journal vouchers and post them on a bi-weekly basis, ensuring financial accuracy and compliance with IUCN’s policies and procedures.
•Ensure compliance with IUCN’s Internal Control System (ICS), maintaining all financial records in accordance with IUCN's standards.
General Support:
•Offer general administrative and clerical support as needed, ensuring smooth operations and coordination among team members.
•Perform any other tasks assigned by the Supervisor
• Bachelor’s degree in Business Administration (finance, HR, General Administration) • Minimum 1-2 years of working experience in administration and financial management. • Proficiency in all MS Office applications and in particular Outlook, Word, Excel and Power Point, including basic hardware maintenance and use of recent accounting software. • Expertise in project formulation and implementation will be an added advantage. • Strong interpersonal skills and excellent command of written and spoken English and Urdu. • Ability to deliver under pressure. • Excellent command of written and spoken English and Urdu. • Ability to work in field conditions and participate in field activities (where required) in rugged, mountainous, or remote terrains. • Good communication, negotiation and report-writing skills. • The Preference will be given to those candidates who have domicile of Islamabad, Multan & Lahore. |
