Accounts Officer

The main responsibilities of this position would be to:
• Maintain and update the general and project accounting records and files.
• Provide assistance to programs/projects on matters relating to financial management.
• Attend to all other routine accounting functions and prepare reports for internal management and fulfill finance-related requirements of the Regional Office and HQ.
• Assist the supervisor in the review of existing financial accounting systems, controls and procedures and where necessary, recommend the necessary improvement or revisions.
• Perform other tasks that may be assigned by the supervisor and Head of Finance from time to time.
DUTIES
1. Recording and Book keeping
• Prepare and processing journal entries to ERP system pertaining to receipts, disbursements, petty cash, non-cash and inter-office charges affecting the Asia Regional Office, Regional Programs maintained in ARO, and projects.
• Prepare monthly bank account reconciliations for each bank account.
• Prepare journal entries on debit/credit notes relating to country current account transactions.
• On a monthly basis, calculate the overhead fee in accordance with the agreement and obtain necessary approval for processing.
• Assist to prepare required monthly reports from the ERP system for use of the Asia Regional Office, country offices, projects and HQ.
• Prepare donor invoices and issue receipts on funds received from donor/third parties
• To prepare Inter-company account reconciliation with HQ and coordinate with country offices on reconciling their Inter-company accounts with ARO
2. Treasury and cash management
• Monitor cash flows and ensure funds are available at all times to meet requirements. This includes preparing and sending funds requests to the donor/s in accordance with the agreement;
• Assist Head of Finance and Finance Manager in determining cash requirement of the different cost centers and projects of the Asia Regional Office.
• Prepare banking documentation for signing by designated signatories and disburse them.
3. Fixed Assets
• Update monthly, the fixed asset schedule and process journal entry for depreciation.
• Coordinate with Administration and consult finance manager to ensure fixed assets register is reconciled with FA schedule.
4. Other tasks
• Carry out other relevant tasks assigned by, and mutually agreed with, the line manager and Head of Finance.

• Bachelor’s Degree or equivalent in Finance, Accounting, Business Administration or other related fields • At least 3 years of relevant professional experience in project finance and accounting • Experience of working with Enterprise Resource Planning software will be an advantage. Exposure to/ familiarity with Microsoft Dynamic NAV ERP system will be a distinct advantage • Relevant ability to conceptualize, plan, budget and implement programme finance related issues • Relevant experience in working with international organizations will be considered an asset • A high level of computer literacy is essential • Ability to work under pressure at times, while maintaining high quality results is an essential requirement • Be honest, highly organized, responsible, self motivated and able to take initiative under minimum supervision • Demonstrate ability to work as part of a team in diverse professional backgrounds • Fluency in Thai and Good command in written and spoken English is essential |
