BACKGROUND
PLEASE NOTE THIS IS A LOCALLY RECRUITED POSITION

BACKGROUND;

Working closely with the Regional Communication and Constituency Manager RCCM), this position will support the IUCN Eastern and Southern Africa Membership and Communications Unit functions providing administrative, logistical and technical assistance on membership and communications issues. She/He will take a proactive role in engaging Members in IUCN’s work, keeping them interested engaged and providing them with regular communications on IUCN matters. The position will also support tasks related to internal and external communications, branding and marketing and translating the global IUCN Membership Strategy of IUCN inat the Eastern and Southern Africa regional level.
JOB DESCRIPTION
SPECIFIC RESPONSIBILITIES;

MEMBERSHIP DUTIES;

Retention of Members (ESARO;
Liaise with and provide updates and assistance to existing IUCN Members in relation to membership issues, including member services and IUCN-related events and programme focus
Support Members in organizing coordination meetings, take notes and support in the follow-up and tracking of points discussed as well as agreed next steps.
Obtain regular satisfaction feedback from Members, attend to their concerns and raise their dissatisfaction to the Regional Communication and Constituency Manager
Maintain and update information on Members’ resources and interests, identify and suggest participation of Members in design and delivery of programmes and projects in IUCN ESARO.
Maintain and regularly update Members’ contact details to improve networking and information exchange across the Union
Maintain and update information on Members’ expertise ensuring this information is accessible to all Members and IUCN ESARO programme staff
Provide Union Development Group/Information Systems with recommendations/feedback on CRM and Union Portal issues to help improve their user-friendliness and features
Support in conceptualizing and implementing digital storytelling strategies to showcase the work of our Members as a means of value addition to them
Support in documenting Members’ milestones and production of an annual report for each Member country.

Recruitment of Members (ESARO);
Support the admission of new Members by ensuring timely submission to IUCN HQ for Council’s approval, including liaising with potential Members, ensuring that the application form is completed, all supporting documents, including payment, required for the admission/adhesion are provided and that all statutory requirements are met
Liaise with applicants and new Members once admitted by IUCN Council, including working closely with the Regional Communication and Constituency Manager, throughout the application/admission/adhesion process and keeping applicants informed
Provide the IUCN Welcome Pack to new Members.

Membership dues (ESARO);
Liaise with and provide updates and assistance to existing IUCN Members in relation to payment of membership dues
Ensure that the membership dues are cleared by all categories of Members, including State Members. This includes regular follow-up with respective Members and IUCN Country Heads where needed.

National and Regional Committees(ESARO;
Support with providing information and assistance to each National/Regional Committee (NRCs) in the ESARO region for efficient functioning;
Support Members and NRCs in organising regular Members' meetings in coordination with the Regional Communication and Constituency Manager
Keep NRCs constantly informed of changes in IUCN membership in particular as it pertains to the specific country or region

World Conservation Congress and Regional Conservation Forum (ESARO;
Support in the successful execution of the Sponsored Members programme for the Congress / Forum
Ensure that Members from the region are well represented at the Congress and related events;
Support in the Members’ Lounge preparations prior to and during the World Conservation Congress and forums, as necessary.
In liaison with the Regional Communication and Constituency Manager, support the Congress Unit in facilitating requests and issues raised pertaining to the World Conservation Congress
Provide Members with all the necessary support and information related to Motions, draft Programme and Congress agenda and documents
Support the implementation of relevant Resolutions and Recommendations approved by the Members Assembly

COMMUNICATION DUTIES:

Provide support to the Regional Communication and Constituency Manager in coordinating virtual meetings related to communications and membership including managing IUCN virtual meeting platforms and live sessions where applicable
Support in updating the IUCN ESARO website with information and stories
Support in managing IUCN ESARO social media accounts including coordinating and ensuring quality social media activity on the various platforms; produce a monthly digital media report
Update a master editorial calendar for IUCN ESARO to capture key conservation days, programme and member highlights/campaigns
Liaise with the ESARO programme teams to identify potential events, milestones or activities that can be leveraged across 360-communication execution
Maintain and update ESARO media contacts list as well as social media contact list of relevant donors, partners and members
Support with preparing media briefs for IUCN spokespersons as required
Assist the Communication and Constituency Manager in running a variety of events, such as press conferences, Members’ events and project launches – this includes logistics and administrative support
Support IUCN ESARO programme teams in photographing and collecting materials for success stories as well as production of communication materials linked to specific projects (videos, radio, etc.)
Provide assistance to produce high quality communications and knowledge products in a range of formats including branded merchandise, publications, presentations, brochures, web stories, press releases, short films, etc.
Provide administrative or logistical support for communication activities being carried out by third party service providers

OTHER DUTIES;
Assist the Regional Communication and Constituency Manager and Programme staff of IUCN ESARO and the Union Development Group in coordinating national, regional and global events involving Members and projects from ESARO
Support the Regional Communication and Constituency Manager to process exit interviews (or relevant process) with withdrawn Members
Provide general administrative support to the Communications and Membership unit
Perform any other related activity that may be assigned by the line manager
REQUIREMENTS
  • POSITION REQUIREMENTS:

Education and Work Experience;
Bachelor’s Degree in Administration, Communications or a related field or a Relevant higher education from an accredited institution
High degree of competency in Microsoft Office software, including WORD, EXCEL, OUTLOOK, and POWERPOINT
A minimum of 5 years of relevant work experience, preferably in an administrative role for an International Organization or NGO, media house or marketing/communication agency
Experience with digital media and content creation and storytelling; analytics and back-end knowledge and added advantage
Understanding of the media landscape and journalist engagement
Customer service, user experience expertise an advantage
Experience with Content Management Systems and Customer Relations Management tools an added advantage

Language Requirements:
Fluency in English, both written and verbal. Working knowledge of French is an added advantage.
