BACKGROUND
This is a local recruitment. Only Myanmar nationals, individuals with residence status or the appropriate employment visa for Myanmar are eligible to apply. The remuneration and benefits package for this position is established with reference to the local labour market and in line with the IUCN conditions of service for Myanmar.
JOB DESCRIPTION
IUCN is a partner in the consortium project, Gulf of Mottama Project (GoMP), which is funded by Swiss Agency for Development and Cooperation. The consortium partners are HELVETAS and Network Activities Group (NAG), with whom IUCN works closely in the implementation of the GoMP. IUCN’s work on this project is coordinated by the Gulf of Mottama International Advisor (IA). Key activities of the IA include coordinating natural resource research and training research teams at local universities (Mawlamyine and Bago), and working with the GoMP Management Plan Coordinator to coordinate with state, township, and village-level stakeholders on natural resource management.

We are seeking an administrative assistant to support the IA in key actvities, primarily in coordination of logistics and financial matters related to: ~10 university research teams, who will need to be guided in the logistics of tracking and reporting expenses; other contracts for research with local NGOs who also need to track and report their expenses; trainings, meetings, and other activities that the IA and Management Plan Coordinator need to arrange.


MAJOR RESPONSIBILITIES

Finance
• Coordinate closely with the Gulf of Mottama Project’s finance office, through HELVETAS, on submitting expense claims and supporting documents form research teams
• Advise and assist research teams in the preparation of allowances and travel claims .
• Assist the IA and the Gulf of Mottama Project Management Plan Coordinator in submittig advance requests and expense claims to the Gulf of Mottama Project Finance Office

Administrative/Coordination
• Coordinate closely with the IA and Management Plan Coordinator in arranging logistics for key activities, particularly for research teams
• Assist staff with cash advance requests and book hotels, flights, taxi, etc. as required.
• Working with Gulf of Mottama Project administrative and logistics staff and/or township cluster coordinators to arrange activity venues, invite participants, prepare budget advance requests, report expenses
• Assist in taking meeting minutes and in coordinating translation of meeting minutes
• Facilitate coordination between GoMP and collaborators, including Worldview International Foundation, Myanmar, and Point B Design + Training’s Myanmar Coastal Conservation Lab
• Data entry based on activities, including summary of participants and beneficiaries
• Any other duties and assigned by supervisors

OTHER DUTIES
Carry out any other duties you may be called upon to perform from time to time by your supervisor.
REQUIREMENTS
  • Bachelor's degree in business administration or related fields.

• Ability to properly and carefully follow procedures for administrative and coordination tasks.

• Experience in coordinating logistics and tracking activity expenses

• Strong computer skills, especially Microsoft Word and Excel, and strong typing skills

• Excellent coordination, organizational, and communication skills

• Proficient in verbal and written English and local language.

• Willing to be based in Mawlamyine, Myanmar
