BACKGROUND
JOB DESCRIPTION
Assist the TRAFFIC Central Africa office in administrative and clerical duties. This include, implementation of administrative procedures, maintenance and security of the premises as well as the equipment / work tools, the organization of trips and management of all assets.


SUMMARY OF SPECIFIC DUTIES :

•Submit proposals for the improvement of administrative policies and procedures for the smooth functioning of the TCAF Office, as well as procedures for the procurement of necessary equipment, supplies and services;
•Facilitate the travel arrangements of TCAF staff and visiting partners in Cameroon or in Yaounde (booking, ticket purchase, follow-up of refund of unused tickets, etc.)
•Manage incoming and outgoing calls and mail, receive and log mail before sending them to the destined offices;
•Prepare mission orders, travail authorization and supervise travel claims for missions of staff members, partners and consultants;
•Responsible for electronic signatures of all documents.
•Maintain a filling system, both hard and soft, of all financial, administrative and project documents.
•Scanning of all financial transactions for projects and core and maintaining an electronic file.
•Prepare monthly report on vehicle usage from the log book,
•Carry out other secretariat duties for the Regional Director.
•Manage the mailing system of the office, both incoming and outgoing mails. Maintain a file for all mails.
•Oversees the activities of the office cleaner and the security guard.
•Maintain a register of TCAF items in the office
•Manage the inventory of office consumables
•Performing any other functions as agreed with the line manager.
REQUIREMENTS
  • •HND in Administration or related field of study
•Previous experiences would be an added advantage
•Computer knowledge, MS package, Word, Excel and Power Point etc
