BACKGROUND
TRAFFIC, the wildlife trade monitoring network, works to ensure that trade in wild animals and plants is not a threat to the conservation of nature. We actively monitor and investigate wildlife trade and provide information to diverse audiences worldwide as a basis for effective conservation policies and programmes. TRAFFIC is a strategic alliance of World Wide Fund for Nature (WWF) and the International Union for Conservation of Nature (IUCN) and is an international network, organised into six regional programmes.

TRAFFIC is currently implementing a grant from the US Agency for International Development (USAID) called the ‘Wildlife Trafficking, Response, Assessment, Priority Setting’ (Wildlife-TRAPS) Project. This project works to secure a transformation in the level of co-operation between an international community of stakeholders who are impacted by illegal wildlife trade between Africa, Asia, and more recently Latin America. The project is designed to increase understanding of the true character and scale of the response required, to set priorities, identify intervention points, and test non-traditional approaches with project partners.


The salary range for this position is £27,000 - £32,000 per annum dependent on skills and experience
JOB DESCRIPTION
CHARACTERISTIC DUTIES

• Overall responsibility for ensuring the consistent and efficient administration of the Wildlife TRAPS initiative for TRAFFIC, including creating and maintaining appropriate administrative record keeping systems with respect to both financial and project management material.
• Working closely with TRAFFIC’s Head and Regional offices’ finance and administration teams where the project is being implemented, and the project administrators at both IUCN and USAID, to ensure adherence to financial and project management and reporting requirements.
SPECIFIC DUTIES

• Coordinate day to day project administration with the Wildlife TRAPS Project Leader, Project Officers and others (including the host organisation’s finance and administration team);
• Provide effective administrative support to the project, maintain, identify and develop improved administrative systems and standards;
• Provide support with regard to the organisation of and logistics around the compilation and delivery of research and communication materials, workshops and similar deliverables under the project;
• Provide support with regard to scheduling project meetings, writing minutes and agendas and circulating reference materials as required;
• Manage contracts by drafting, reviewing and finalising any necessary project funding arrangements or sub-grant agreements and ensuring the timely transfer of funds;
• Liaise with auditors and arrange any necessary project audits, including preparing and reviewing supporting documentation as required;
• Provision of information on the project as and when required from the TRAFFIC network;
• Support to regional offices and consultants for advice and guidance on USAID compliance issues;
• Conduct training and capacity building of relevant staff on management of US Government funding;
• Conduct periodic internal reviews or audits of regional offices to ensure compliance with set procedures;
• Manage and monitor the project budget;
• Oversee and implement procurement and inventory procedures in accordance with TRAFFIC and donor policies and regulations;
• Other duties as instructed by the Wildlife TRAPS Project Leader.
REQUIREMENTS
  • Must be eligible to live and work in the UK
• be educated to a university-degree level;
• have minimum of two years administrative work experience and with experience of USAID funded initiatives an advantage
• have relevant and proven experience in project administration, budgeting and contracting
• have experience working with financial reports and preparing donor/project reports
be experienced in supporting meeting logistics and travel arrangements
• be a good team player used to meeting tight deadlines, working under pressure, and also willing to work on own initiative
• have willingness and to travel globally, occasionally to less developed countries
• be computer literate with an emphasis on using spreadsheets
• have excellent communication and interpersonal skills and strong organisational ability
• have experience of working in the not for profit sector and/or in nature conservation would be an advantage.
• have strong fluency in written and oral English required
