BACKGROUND
JOB DESCRIPTION
Specific Duties
More specifically, the roles and responsibilities of the Finance Assistant are as follows:

a) Administer and reconcile petty cash;
b) Check travel advances, travel claims and other settlement of advances and process journals in the system
c) Reconciliation of balance sheet accounts and bank accounts including bank reconciliations
d) Ensure that all payments requests are processed accurately and timeously;
e) Assist in the analysis on the financial reporting and performance of projects and ensuring that sound financial control procedures are in place, in line with the donor requirements;
f) Enter data into the accounting system
g) Assist with end of year preparation and Audit Preparation.
h) Prepare statutory returns for review and payment e.g VAT, PAYE etc.
i) Ensuring that all financial records and files (e.g., supporting documents for expenditures, contracts, purchase orders, fixed asset inventory) in the office are well organized, maintained and updated.
j) Ensure all assets are appropriately covered insurance.
k) Review of implementing partner’s return for validity, accuracy and completeness. 1
l) Ensure that all procurement process are in accordance to the Internal Control System. Provide support on the Admin Portal i.e order requisitions, travel authorizations and approval processing
m) Preparing statutory returns for review and payment, value added tax employer 201 Employee Pay as you Earn and Employer 501 (IRP5) submissions and reconciliations to the South African Revenue Service, ensuring submission deadlines are met.
n) Preparing Workmen’s compensation calculation and payment to South African Department of Labour.
o) Full payroll function. Calculation and processing of local and expatriate salaries in accordance to the IUCN policy and in line with South African regulations using sage- pastel and HR software
p) Intercompany Transactions- Processing all incoming and outgoing intercompany transactions in the NAV system
q) Staff time analysis and calculations. Receive timesheets and performing the calculations as well as capturing this information and journals in the system for cost recovery.
r) Processing financial transactions in the NAV ERP accounting system ensuring data is properly allocated
s) Carry out any other financial and or administrative duties as assigned by the Finance and Administration Officer.
REQUIREMENTS
  • A Bachelor’s Degree or a National Diploma in a in Finance, Accounting, Business Administration or other related fields

• Minimum of three years working experience in a similar role in the NGO/development sector;

• Experience of working with Enterprise Resource Planning software will be an advantage. Exposure to/ familiarity with Microsoft Dynamic NAV ERP system will be a distinct advantage;

• A good understanding of accounting principles

• High proficient in Microsoft Office applications (Word, Excel, PowerPoint).

• Fluency in written and spoken English is essential;

• Highly motivated and results-oriented individual and able to work independently;

• Excellent interpersonal skills and a strong team player with proven communication and diplomacy with the ability to work effectively with multicultural and multidisciplinary teams

• Sound organizational skills and ability to prioritize and deliver assignments as required and ability to work under pressure to meet tight deadlines;

• Commitment to continuous learning and proactive and mature attitude towards self-development;

• Able to travel when required
