BACKGROUND
JOB DESCRIPTION
Under the supervision of the Human Resources and Administration Manager and in collaboration With IUCN ROWA team, The Volunteer Receptionist will assist in handling front office reception and Administration duties that can help staff members more efficiently and effectively.

DUTIES AND RESPONSIBILITIES
• Receive, screen and direct telephone calls to the appropriate staff member and take telephone, Messages and fax messages.
• Provide basic and accurate office information to callers such as address, direction and other general information.
• Receive and assist visitors, announce their arrival and direct them to the appropriate office.
• Schedule appointments to staff members.
• Organizing/arranging visa appointments and travel issues for the Regional Director.
• Arranging regular meetings with the staff and externals for the Regional Director, and take minutes of meeting.
• Pickup and deliver the mail to appropriate staff members and be the focal point with mailing companies
• Develop and maintain a general filing system.
• Type and prepare correspondence and documents according to internal Guidelines.
• Accurate reservations of meeting room and checking the meeting room is ready for the next meeting.
• Make preparation for workshop and meetings and ensure that the meeting room is correctly setup and all required materials, machines, equipment and stationary are available.
• Support the logistics of events (conferences, workshops, forums, cross visits, and training) at local, national, and regional levels.
• Send electronic invitations to people and institutions invited to events and track Confirmation of these shares.
• Put together a final folder of events with photographs, invitations, attendance lists.
• Maintain the reception area tidy and clean.

Other Functions:

• Performing other duties as requested by the line manager.


REQUIREMENTS
• Bachelor Degree in Business Administration, secretarial, or related field, or 2 additional years of working experience
• 1-2 years of experience as receptionist, front office or similar role.
• Knowledge of administration and clerical procedures
• Proficiency in computers and MS office applications.
• Solid Verbal and Written communication skills in Arabic and English
• Professional attitude and appearance
• Excellent organizational and planning skills
• Multitasking with Attention to details
• Good initiative, High confidentiality and reliability
• Stress tolerance
