BACKGROUND
Responsible for managing the implementation of the Time Management System (TMS) and supporting the change management activities including designing and delivering the training and creating user manuals.
This position is also responsible for day-to-day project management activities according to project charter.

Time Management System
IUCN is selecting a Time Management System for managing recording of staff time and charging of time to funding sources

Main goals:
• Simplify the recording of time worked
• Integrate the recording of time with the charging of time to sources of funding via ERP (Microsoft Dynamics NAV)
• Improve time management and reduce duplication of tasks
• Enable Staff Resources planning (in 2nd phase)

The implementation will cover all IUCN offices (approx. 50) and employees (approx. 1,000), with progressive rollout starting in Gland, Switzerland in 3Q2018 and to be completed globally by the end of the year.
JOB DESCRIPTION
Time Management System (TMS) – Jan/August (100%), September/December 2019 (95%), January/February 2020 (10%)

IUCN is selecting a Time Management System for managing recording of staff time and charging of time to funding sources.

• Simplify the recording of time worked;
• Integrate the recording of time with the charging of time to sources of funding via ERP (Microsoft Dynamics NAV);
• Improve time management and reduce duplication of tasks;
• Enable Staff Resources planning (in 2nd phase).

The implementation will cover all IUCN offices (approx. 50) and employees (approx. 1,000), with progressive rollout starting in Gland, Switzerland in 3Q2018 and to be completed globally by the end of 2019.

SPECIFIC DUTIES AND RESPONSIBILITIES

• Manage the day to day activities, working closely with the project owner and project team;
• Plan activities and resources;
• Control time management project to ensure timely delivery of all deliverables within budget restrictions and according to quality specifications;
• Organise regular project management meetings and share information with stakeholders;
• Analyse business and technical requirements;
• Responsible for system design and configuration, including design of integration with HRMS, ERP and other systems;
• Manage relationship with vendors and consultants and ensure timely delivery and quality according to specifications and within budget;
• Track and raise any issues or risks to the project owner and project team;
• Propose solutions and mitigation plans to address identified issues and risks;
• Design effective training including assessment of retention and plan for the training delivery;
• Create a reference end-user manual and process documentation, including roles and responsibilities;
• Work closely with project team to ensure adequate end-user testing scripts are designed covering all aspects and including integration, security and privacy;
• Coordinate execution of end-user testing and provide gap and risk analysis;
• Collaborate with other IS teams to ensure smooth integration with other systems and inclusion in the service management tool;
• During the roll-out lead the support, specifically incident and problem management;
• Provide regular (weekly or as scheduled) progress updates to project team and project owner.


Project Portal 3.0 – October/December 2019 (5%), January/February 2020 (90%), March/December 2020 (100%)

SPECIFIC DUTIES AND RESPONSIBILITIES

• Manage the day to day activities for the Portal 3.0 project, working closely with the project owners and project teams;
• Plan activities and resources;
• Control the Portal 3.0 project to ensure timely delivery of all deliverables within budget restrictions and according to quality specifications;
• Organise regular project management meetings and share information with stakeholders;
• Analyse business and technical requirements;
• Responsible for system design and configuration of the enhancements to the Project Portal contained in the Portal 3.0 project charter, including integration;
• Responsible for system design and configuration of the Open Portal, including design of integration between the Project Portal and the Open Portal;
• Manage relationship with vendors and consultants and ensure timely delivery and quality according to specifications and within budget;
• Track and raise any issues or risks to the project owners and project team.
REQUIREMENTS
  • Strong project management skills specifically for technical solutions implementations, certification is a plus (PMI, Prince2 or other),

• Minimum 5 years’ experience in implementing systems projects, preferably with experience in the implementation of time management or project management systems,

• Experience in implementing time management solutions (resource management, incl. planning). Experience with organisations of comparable size and nature to IUCN is a plus,

• Experience of working in ITIL environments (in the areas of incident, problem and change management),

• Knowledge of integration with ERP systems,

• Strong business process analysis skills, including designing the change of business processes,

• Experience in coordinating and communicating with multiple parties across multiple IS disciplines including project owners and third party vendors,

• Fluent written and spoken English is required, knowledge of French or Spanish language is a plus,

• University degree or equivalent experience in Computer field

• Available to travel if required
SALARY
The gross annual salary for this position is between CHF 100'355 and CHF 125'444, subject to deductions for social security contributions and second-pillar pension, and before tax. While this is an indicative amount effective as of the current date, changes may occur as per IUCN's compensation practices without prior notice. The same applies to other organisations hosted by IUCN.
