BACKGROUND
TRAFFIC, the wildlife trade monitoring network, works to ensure that trade in wild animals and plants is not a threat to the conservation of nature. We actively monitor and investigate wildlife trade and provide information to diverse audiences worldwide as a basis for effective conservation policies and programmes.

This position is responsible for ensuring the consistent and efficient administration for projects which TRAFFIC International has financial and reporting responsibilities. The Project Administration Officer will specifically provide administrative support to the USAID ‘Reducing Opportunities for Unlawful Transport of Endangered Species’ (ROUTES) Partnership, which is led by TRAFFIC. ROUTES brings together the transportation and logistics industry, international conservation organizations, donors and government agencies in an innovative partnership to disrupt wildlife trafficking by reducing the use of legal transportation supply chains.


The salary for this role will be between £27,870 and £34,000 p.a. depending on skills and experience.
JOB DESCRIPTION
• Coordinate day to day project administration with the ROUTES Lead, Project Officers and others;
• Provide effective administrative support to the project, maintain, identify and develop improved administrative systems and standards;
• Monitor project expenditure and ensure financial monitoring systems are kept up to date
• Provide support with regard to scheduling project meetings, writing minutes and agendas and circulating reference materials as required;
• Provide logistical support around the compilation and delivery of research and communication materials, workshops and similar deliverables under the project;
• Drafting, reviewing and finalising subcontracts and subgrants necessary for project funding arrangements ensuring the timely transfer of funds;
• Ongoing monitoring of project agreements;
• Liaise with external auditors and arrange any necessary project audits, including preparing and reviewing supporting documentation as required;
• Conduct periodic internal reviews or audits of regional offices to ensure compliance with procedures;
• Preparation of project documentation for annual statutory audit and providing additional information during the audit as required.
• Provision of information on the project as and when required from the TRAFFIC network;
• Support to regional offices and consultants for advice and guidance on USAID compliance issues;
• Conduct training and capacity building of relevant staff on management of US Government funding;
• Conduct periodic internal reviews or audits of regional offices to ensure compliance with procedures;
• Manage and monitor the project budget and partner financials;
• Advising the project team on the management of project finances, maintaining cash-flows and assisting with budget forecasts and liaising with the project team on a day-to-day basis;
• Oversee and implement procurement and inventory procedures in accordance with TRAFFIC and donor policies and regulations;
• Other duties as instructed by the ROUTES Lead or Senior Manager, Grants.
REQUIREMENTS
  • • Must be eligible to live and work in the UK
• Educated at least to A' level standard
• Minimum 3 years experience working in a similar position for a Government, NGO or charity organisation
• Relevant and proven experience in project administration, budgeting and contracting
• Experience of working with USAID, DFID and Government aid agencies an advantage
• Experience working with financial reports and preparing donor/project reports.
• Computer literate with an emphasis on using spreadsheets and Microsoft project an advantage
• Excellent communication and interpersonal skills and have strong organisational ability
• A good team player used to meeting tight deadlines and working under pressure and also willing to work on own initiative
• Fluency in written and oral English required
