BACKGROUND
JOB DESCRIPTION
1. Maintain appointment diaries, schedule official meetings and make appointments;

2. Organise travel arrangements, itineraries and notifications (including travel bookings, tickets, cash advances, travel approval forms, local pick-ups and transport, visa, accommodation requirements); as well as travel advance reconciliations/reimbursements;

3. Deal with and record telephone calls, email messages, visitors and queries on the programme/project of IUCN with appropriate actions and responses particularly in the absence of the Line Manager;

4. Develop and maintain a computerized mailing list, as well as an information database on the programmes’ principal contact and email addresses, telephone and fax numbers;

5. Provide logistical support in organising training events, workshops and meetings and in preparing the reports;

6. Provide overall assistance on programme/project coordination and development to the RPD and RPSU;

7. Be informed about the movements of and keep in touch with the RPD and RPSU staff members;

8. Screen and handle official visitors and consultants for the Programme/projects of RPD and RPSU;

9. Maintain and support the organisational filing and data management systems, in hard copy as well as computerized form as appropriate;

10. Ensure that admin/ finance/ personnel forms are available and used as and when required;

11. Maintain the 'corporate' identity of IUCN by ensuring that all letters, memos, faxes, proposals and reports of the programme and project adhere to the IUCN style;

12. Regular liaison with office administration and the other Asia Regional Office secretaries;

13. Assist in the preparation of programme documents including searching for and compiling information (e.g. from internet searches and Knowledge Network, etc), or helping with the layout and publication of Programme and Project reports;

14. Interact and liaise with other parts of IUCN’s global and regional secretariat, its members and commissions, and with programme networks, as required. This includes assisting with communications and with the distribution of information to various internal and external networks;

15. Provide secretarial support to other parts of the office in times of particular stress;

16. Explore new ideas for the better management of secretarial duties and enhance own capacity;

17. Carry out any other relevant tasks as required by, and mutually agreed with, your line manager.
REQUIREMENTS
  • A degree in administration or any other relevant field or secretarial certification from a recognized vocational school

• At least one year of experience in secretarial or administration duties, preferably in a similar organisation.

• Demonstrated ability to multi task as part of a multicultural team;

• Fluency in Thai and proficiency in written and spoken English

• Excellent computer skills in the use of MS Office software (MS Word, MS Excel) and email
SALARY
The minimum gross annual salary for this position is THB 706'071. While this is an indicative amount effective as of the current date, changes may occur as per IUCN's compensation practices without prior notice. The same applies to other organisations hosted by IUCN.
