BACKGROUND
Country Rep is on board effective Nov, 2022. Hence the change.

The Junior Office Assistant will provide secretarial and administrative support to the Country Representative, IUCN India Country Programme Office and its projects and programmes. He/she will be responsible for ensuring the smooth running of the day-to-day operations of the Office of the Country Representative.
JOB DESCRIPTION
• Preparation of Travel Authorizations, travel claims of – Country Representative and Programme Coordinator.
• Liaise with Government agencies and other programme implementation partners on meetings and related documentation and on obtaining any other information.
• Support the Administration team in arranging hotel bookings, air ticket, train tickets and Visa letters related to CR IUCN India office.
• Provide logistical support for all the workshops and meetings organized by IUCN.
• Attend to and record telephone calls, email messages, visitors and queries on the relevant programmes with appropriate actions and responses;
• Help in maintaining records and registering all stationary and other consumable items and updating them on regular basis;
• Develop and maintain a computerized mailing list, as well as an information database on the programme’s principal contact addresses, telephone, email and fax numbers;
• Through regular liaison with office administration, ensure that programme office space is well maintained, neat and secure, that all equipment are well maintained and in good working condition, and that stationery is sufficiently supplied and accounted for;
• Carry out any other relevant tasks that may from time to time be requested by the line manager.
REQUIREMENTS
  • High school diploma or equivalent required

• A minimum of 2 years’ experience in a clerical position.

• Proficiency with MS Office.

• Strong knowledge of office procedures and basic accounting processes.

• Outstanding communication and organizational skills.

• Excellent time management
