Finance Assistant

Accounting
Help on reconciliation of balance sheet accounts. Upload reconciliations to the NAV checklist.
Prepare debit/ credit notes for country offices, HQ and other regions.
Assist on accounting entries.
Review and process Expense Claims and Travel Authorisations.
Assist in preparing invoices to donors for project funds.
Assist in processing month-end and year-end closing entries.
Financial Reporting and Audit
Review financial statements and supporting documents from Implementing Partners.
Assist on project audits and financial reporting, mainly on EU projects;
Assist on providing the relevant documents from files and scan the supporting documents for project financial statements
Asset Management
Update fixed assets register in ERP.
Perform physical checks of the inventory.
Logistic
Prepare the documentation, make payments for workshop participants, and prepare disbursement statement.
Advise and assist staff and consultants in the preparation of allowances and travel claims.
General Administration and IT
Assist Project Managers on updating Project Portal.
Ensure that all records, vouchers, and invoices are properly filed and securely stored.
Help on laptops deployment and maintenance.
The above job description contains the main duties and responsibilities for this position. However, in a relatively small Centre as IUCN-Med, staff members are expected to show flexibility in their approach to work and be willing to undertake other tasks that are reasonably allocated to them but which are not part of their regular job description.
The annual gross salary for this position is 26.710 €
• University degree in Finance and Accounting related fields • Minimum 2 years of work experience with progressively increasing responsibilities in finance management and reporting • Advanced computer proficiency in Microsoft Office, mainly in Excel • Fluent or high languages skills in English essential. French and Spanish an asset • Working knowledge of ERP NAV accounting system will be an added advantage • Excellent interpersonal and communication skills • Ability to work with people from diverse cultures and different backgrounds • Ability to work well under pressure and manage multiple deadlines and be flexible |
