BACKGROUND
The mission of the Human Resources Management Group (HRMG) in IUCN is to actively and transparently promote and monitor effective, equitable human resources policies, procedures and practices that adhere to best practice standards.

HRMG works in partnership with line management around the globe, to whom it provides expert advice for the purpose of attracting and retaining a qualified and motivated workforce. It is also instrumental in ensuring that IUCN provides career opportunities at all levels and that staff members are treated equitably.

Mentoring will be provided for this position by the CHRO, the HR Business Partner Learning and Development, this will involve both the definition of tasks and training opportunities, and regular individual meetings to review progress (at least weekly). The incumbent will collaborate closely with the other members of HRMG to contribute in HR global initiatives and to execute HR global programmes and standards.
JOB DESCRIPTION
SPECIFIC DUTIES AND RESPONSIBILITIES

HR support for HQ Operations

“Cartes de légitimation” / Work permits:

• HR focal point for all “cartes de légitimation” / work permit requests, renewals and reimbursements and keep track of expiry dates;
• Prepare invitation letters for visa requests;
• Archiving of staff personal files.


HR support for Global projects

Congress support

The IUCN World Conservation Congress is a quadrennial event of several thousand participants that brings together the IUCN Members for the four-day Members’ Assembly and is preceded by a four-day Forum with several hundred events open to the general public. The HR Global Management Group is responsible for the HR function at the Congress which includes recruitment, deployment of staff and wellbeing during the event and compliance with Labor Law in the host country. The next Congress will take place from Thursday, 9 to Wednesday, 15 October 2025 in Abu Dhabi, United Arab Emirates.

Under the supervision of the CHRO, the HR Assistant will:

• Create and maintain Congress assignments in the Congress HR system, including up-to-date terms of reference and reporting lines for all assignments;
• Work closely with the Chief HR Officer to develop the terms of reference of the Congress HR assignments and actively participate in the recruitment for these assignments;
• Assist the Chief HR Officer liaising with the Congress Unit, the Congress Executive Committee and the Congress Preparatory Committee and attend meetings as necessary;
• Support and track the recruitment process of all Congress assignments, including staff, hostess, and volunteers;
• Coordinate compliance of Congress assignments with host country labour requirements;
• Generate and maintain up-to-date the Congress organisational chart;
• Coordinate travel insurance for all staff travelling to Congress;
• Coordinate the development of the Congress staff manual and of the orientation course;
• Coordinate and support the delivery of the orientation course prior and at Congress;
• Coordinate the Congress Staff evaluation after Congress and support the development of the report.

Global Learning & Development support

• Organise and schedule training sessions, workshops, seminars, and other learning activities for employees;
• Complete administrative tasks related to learning and development programmes, such as maintaining training records, filing and distributing of training materials, and registering and monitoring attendance;
• Liaise with internal and external partners on contract administration, internal agreements and tracking of expenses;
• Support procurement for learning and development activities;
• Support the development of monitoring and evaluation of training activities, including collecting feedback from participants to evaluate the effectiveness of training programmes and identifying areas for improvement;
• Support with the learning management systems (LMS), including user management, content uploads and updates, troubleshooting and generating reports;
• Support on the automation of onboarding programme and worldwide implementation. Participate in testing phase in HRMS, trouble shooting, assist users and generate reports;
• Encouraging employee participation in learning and development activities through effective communication, promotion, and engagement initiatives.
REQUIREMENTS
  • Education and Experience:

Currently enrolled in a Bachelor’s or Master’s degree programme in Business Economics, Business Administration, Human Resource Management, or a related field.


• Relevant coursework in human resource management.

• Skills and Competencies:

Understanding of HR management techniques and principles and of core principles of labour law and regulations (Switzerland or other country).


• Advance user of current workplace technologies.

• Strong methodological and analytical skills, with a proactive approach to problem-solving.

• Ability to contribute ideas and take initiative in process improvement and innovation.

• Ability to work independently and as part of a team.

• Strong organisational and multitasking abilities.

• Flexibility to adapt to different tasks and responsibilities.

• Language Requirements:

Proficiency in English; knowledge of French, Spanish and/or Arabic are advantages.


• Eligibility:

Automatic right to live and work in Switzerland (Swiss national, permit L, B, C and G)
SALARY
The gross annual salary for this position is between CHF 37'984 and CHF 47'480, subject to deductions for social security contributions and second-pillar pension, and before tax. While this is an indicative amount effective as of the current date, changes may occur as per IUCN's compensation practices without prior notice. The same applies to other organisations hosted by IUCN.
